COMPLAINT PROCEDURE

GENERAL RULES

The Ethical Committee - appointed by the Management Board of PTPI - works to ensure compliance with the ethical principles developed by the Polish Association of Integrative Psychotherapy. It examines complaints regarding the activities (psychotherapeutic, training) of persons who are members of PTPI. The purpose of the procedure is to determine whether the psychotherapist has broken the rules of the Code of Professional Ethics and to propose appropriate actions.

Complaints and appeals must be in writing and may be submitted by e-mail, post (to the address of the PTPI secretariat) or delivered in person to one of the members of the Management Board or the Committee. In the event of a complaint against a member of the Management Board or the Committee, that person shall be excluded from the case.

The complaint should be submitted no later than three years from the date of the events to which it relates. At the time of the described events, the complained psychotherapist should have been a member of PTPI.

Committee members work collectively. The activities of the Committee are secret, except when all parties involved agree otherwise or making the case public against the will of the person found guilty is necessary to protect potential patients/clients (with respect to the law).

The committee considers the case within no more than two months from the date of receipt (not counting holiday months: July and August). If the complainant resigns from membership during the investigation procedure, the Management Board considers the resignation effective only at the moment of issuing an opinion and completing the complaint process, which will allow for fair supervision of the entire procedure. The Board may decide to suspend membership rights pending consideration of the case.

The Ethics Committee is not authorized to issue a decision regarding financial compensation, reimbursement of costs, etc. Members of the Committee do not receive remuneration. The Society covers the documented costs incurred by members of the Commission related to the performance of its tasks.

PROCEDURE

1. The person submitting the complaint or appeal sends it to the address of the PTPI secretariat. The complaint should contain contact details and a possibly accurate description of the event/events and accompanying circumstances. It is acceptable to attach other documents (e.g. letters, notes, recordings, receipts) in order to fully illustrate the circumstances.

2. The Management Board sends a complaint to the Ethics Committee. The committee may be appointed in a given composition only for the time of considering a specific complaint. The committee should consist of at least three people, including at least two with the title of certified psychotherapist of the Polish Society of Public Relations.

3. Within one week of receipt of the letter, the Commission shall inform the complainant in writing that it has been received and that it has a two-month period to respond to it. Within the same period, it also informs the person concerned of the commencement of the proceedings.

4. On the basis of the presented material, the Commission determines whether there have been any irregularities and violations of the principles of the PTPI Code of Ethics and Professionals

5. In order to consider complaints and appeals, the Committee may use the following methods:

  •     conducting explanatory talks with the parties,
  •     collecting additional data and explanations in writing, - consultations with a lawyer and other institutions,
  •     others, depending on the needs and specifics of the situation.

6. The Committee shall prepare an opinion containing its understanding of the case and information on determining whether and what ethical principles have been breached. The opinion, together with the conclusions regarding further proceedings, is presented by the Commission to the Management Board of PTPI.

7. If the complaint is found to be justified, the Commission may propose the following procedures:

  •     a written reminder,
  •     recommendations for psychotherapeutic work (own therapy) with the required report,
  •     recommendations for supervision work with the required report,
  •     suggestions for redress,
  •     suspension of PTPI membership rights,
  •     extending the waiting time for the possibility of taking a certification exam or receiving a recommendation,
  •     withdrawal of professional qualifications (recommendation, certificate) for a definite or indefinite period,
  •     removal from the list of PTPI members, - other, depending on the specificity of the situation.

8. The Management Board shall take a decision on the matter within one week of receipt of the Commission's opinion and notify the parties concerned of its decisions.

9. Further proceedings depend on the specifics of the case - it may include further explanations by each of the parties, meetings between the parties and other activities. In such a case, the Committee formulates another opinion and the Management Board issues a decision.

10. The decision of the Management Board may be appealed against to the General Meeting of Members. If the General Meeting deems it justified to reconsider the case, it decides who will consider the case in further proceedings - these can be certified psychotherapists from outside the Ethics Committee.

11. If the complaint is not found to be justified, all documents and other evidence related to the case should be immediately returned to the owners or destroyed.
